Course Agency vs Course Builder vs Freelancers: Who Actually Does What

Most experts searching for a course creation agency get three kinds of quotes back and compare them on price. That's the wrong comparison, because the three are not doing the same job.

Agencies market. Freelancers execute pieces. Builders build the asset. The question that sorts them is simple: who owns the sales system, and who owns the files when the work is done. I covered the file side in detail in who owns your course. This piece is about the jobs.

I've spent 17 years in paid acquisition, funnels, and revenue architecture. I've served as ad director for 8 and 9 figure brands, so I've seen what each model does well and where each one breaks. Here's how the three models actually break down.

An agency sells attention. It needs something worth selling.

An agency is built to generate attention: ads, content, funnels, and reporting, usually on a monthly retainer. A good agency is useful when there is a product that already converts and you need more people to see it.

The trouble starts when there is no asset. Mike put it plainly: "I'm not a marketer I'm the guy that actually gives you something you can sell. So many people are trying to run ads or do webinars but they have no assets to sell."

An agency that runs traffic to an expert with no product ends up selling the expert's calendar. The leads come in, the calls fill up, and the thing that was already the bottleneck gets more crowded.

There's also a staffing reality worth naming. In an agency, you are often sold by a senior and managed by a junior. Ask who will be inside your account on a Tuesday afternoon, by name.

This week: if you're talking to an agency, ask one question in writing. "What will you build that I own after the retainer ends?"

Freelancers execute pieces. Somebody still has to run the job.

The freelancer route looks efficient on paper. A designer, a video editor, a copywriter, a tech person for the funnel, someone for the portal. Each one quotes a fair price for their piece.

Each one may be excellent at that piece. The gap is that nobody owns how the pieces connect. The copywriter never sat through your method. The designer never saw the offer. The tech person wires a checkout to an email platform nobody wrote the emails for.

Disconnected talent builds disconnected assets, a beautiful mess that does not convert.

And someone has to hold it together. That someone is you. I went through the full cost of this in four freelancers is not leverage: you become the strategist, the project manager, the creative director, and quality control, on top of the clients you already serve.

This week: if you're considering freelancers, write down who will make the final call when the copy and the design disagree. If the answer is you, count those hours.

A builder builds the asset and connects it to the sales system.

A builder's job is the thing you sell and the machine that sells it, as one connected system.

At Freedom Builderz that means the method gets pulled out of your head on recorded strategy calls, everything lands in a plan you approve before anything gets built, and then the team designs, writes, builds, and launches it. Custom built, no templates. You never touch a tech platform.

The product side: curriculum, filmed and edited lessons, worksheets, the membership portal. The sales side: pages, carts, emails, and automations wired together and tested. Then a launch to the people who already trust you, and after the launch closes, 45 days of paid traffic managed by me.

FBZ is a builder, not a marketing agency. The traffic comes after the asset exists, not instead of it.

The ownership standard is written down: "You own every asset we build, inside your own Kajabi and GHL environments."

The two questions that sort all three

When the quotes are on the table, ignore the price for a minute and ask two things.

Who owns the sales system? Meaning who writes the pages and emails, who connects the cart to the CRM, who tests it, and who is accountable if it does not sell. Mike's line from his own vetting checklist: ask who is accountable if it doesn't sell. If the answer is "well, that depends on your traffic," you've learned something.

Who owns the files? Logins, domains, the course platform, the CRM, the email list, the ad account, and the raw video. If any of it lives in the provider's account, leaving them means starting over.

Composite example (illustrative, not one client): an expert with a full calendar hires an agency on a monthly retainer to run ads to a discovery call. Leads come in and her calendar gets fuller. Six months later she hires freelancers to finally make a course. Four months after that she has videos in a shared drive, a half built portal, and a checkout that isn't connected to her email list. She has paid for three things and owns none of them in a form that sells. The order was backwards. The asset needed to exist before the traffic.

What to do next

Three steps you can take before you talk to anyone:

  1. Write one sentence describing what you want to exist in 90 days. If it's "more leads," you're shopping for an agency. If it's "a product that sells without me on every call," you're shopping for a builder.

  2. List every account your business runs on and whose name each one is in. Fix anything that isn't yours.

  3. Send every provider on your shortlist the same two questions: who owns the sales system, and who owns the files. Compare the answers, not the prices.

Book your build call

If you already have the proof and the clients, and you want the asset and the sales system built as one piece inside accounts you own, book your build call at /book.

Frequently asked questions

What does a course creation agency do?

It depends on the agency, which is the problem. Many firms that call themselves course creation agencies are marketing agencies: they run ads, content, and funnels on a monthly retainer. Some build pieces of the product. Before you sign, ask in writing what they will build, who writes the copy, who connects the checkout to your CRM, and what you own when the retainer ends.

Is a course builder different from a course creation agency?

Yes. A builder's job is the asset: the extracted method, the curriculum, the filmed and edited lessons, the portal, and the sales system connected as one piece. An agency's job is usually attention: traffic and campaigns for something that already exists. If the product does not exist yet or does not convert, an agency has nothing reliable to sell.

Should I hire freelancers to build my online course?

Only if you want to run the project yourself. Freelancers are often excellent at their piece, but nobody on a freelance team owns how the pieces connect. That makes you the strategist, project manager, creative director, and quality control. For an expert whose time is the constraint, that usually costs more than it saves.

Who should own my course files and accounts?

You should. Your course platform, CRM, domain, email list, ad account, and raw video files should live in accounts under your name, with the builder or agency invited as a user. If a provider builds inside their own accounts, leaving them means rebuilding from zero. Ask this before you sign, not after.
